CANVAS - Roles

Canvas allows users to take on several different roles. In each course, a user is only one specific role. However, since users often belong to multiple courses, it is very common for a user to be a Teacher in one course, yet be a TA in another course. Much of that depends on the institutional roles assigned to that user by the Missouri S&T or the department overseeing that user's role in Canvas.

The roles and processes required to be granted access to each role are detailed below.

How do I add other users to my course (Teachers, TAs, Graders, etc.)?

 

Roles

Teachers have full access to grading and content in Joe'SS and Canvas.

NOTE: Canvas terminology calls the Instructor role a "Teacher" within the interface.

Method for Obtaining Access:

  1. Department chair notifies Office of the Registrar of Instructor teaching the class and if they are a Primary or Secondary Instructor.
    • Registrar needs name and EMPLID of Instructor.
  2. Instructor must be added by the Registrar's Office to the FERPA Canvas course. Instructor must pass FERPA test with a score of 80% or higher.
  3. This will automatically assign the Instructor to the Instructor role of the designated course in Canvas.

Joe'SS Security Role:

  1. Instructor must be assigned to the FERPA course in Canvas and pass the FERPA test.
  2. Instructor is added to the PeopleSoft (Joe'SS) Self-Service Instructor Role and listed as Primary or Secondary Instructor on class.
  3. Instructor has any combination of Approve, Grade, or Post for the designated course in Joe'SS.

Teaching Assistants have full access to grading and content in Joe'SS and Canvas.

NOTE: Other institutions may have different policies regarding TAs and Instructors in the LMS.

Method for Obtaining Access:

  1. Department chair notifies Office of the Registrar of the TA teaching the course(s) and their current teaching load.
    • Registrar needs name and student ID of TA.
  2. TA must be added by the Registrar's Office to the FERPA Canvas course. TA must pass FERPA test with a score of 80% or higher.
  3. This will automatically assign the TA to the TA role of the designated course(s) in Canvas.

Joe'SS Security Role:

  1. TA must be assigned to the FERPA course in Canvas and pass the FERPA test.
  2. TA is added to the PeopleSoft (Joe'SS) Self-Service TA and listed as TA on class.
  3. TA has any combination of Approve, Grade, or Post for the designated course(s) in Joe'SS.

Graders have LIMITED access to Canvas. They are only able to change grades in the Gradebook. They are NOT able to add/modify content in Canvas, and do NOT have any role in Joe'SS with respect to the course.

Method for Obtaining Access:

  1. Department chair notifies Office of the Registrar of the Grader for the course(s).
    • Registrar needs name and student ID of Grader.
  2. Grader must be added by the Registrar's Office to the FERPA Canvas course. Grader must pass FERPA test with a score of 80% or higher.
  3. Grader will then be added to the Grader role of the designated course(s) in Canvas.

Joe'SS Security Role:

Graders in Canvas have no role inside of Joe'SS. Grades in Joe'SS are managed by the Instructor of Record or the designated TA.

The designers are NOT able to view or edit grades in Canvas, and do NOT have any role in Joe'SS with respect to the course.

Method for Obtaining Access:

  1. Instructor notifies IT of the Content Builder(s) for the course(s). (The best way is to submit an online Help Request.)
    • IT requires a name and student ID of Designer.
  2. IT adds Designer(s) to course(s) and notifies Instructor when this occurs.

Joe'SS Security Role:

Designers in Canvas have no role inside of Joe'SS.
