How to move from Office 365 to Gmail

 

 

On Tuesday, March 25 we'll begin forwarding S&T @mail.mst.edu accounts from Office 365 @mst.edu accounts in Gmail. At that time, all new email messages will be delivered to student Google Apps accounts and any new calendar events will appear on Google Calendars. For more information about this change, visit http://it.mst.edu/student-email

Important: Existing email messages, calendar events, and personal contacts in Office 365 will not automatically appear in a student's Google Apps account. However, students can migrate email, calendar, and personal contacts from Office 365 to Google Apps, by following tutorials below.

If you used Office 365 (@mail.mst.edu) as of March 24, 2014:

After Tuesday, March 25, 2014, log in to your Google Apps account at http://gmail.mst.edu (using your @mst.edu address) and begin using it for all your email correspondence and calendar scheduling. If you haven't done so before, you must sync your password before logging in to Gmail. You can do this in the Google Apps Activation tool below.

Depending on how you have used your S&T Office 365 email account (@mail.mst.edu) you might also wish to complete the following tasks:



Sync your S&T account with Google Apps

If you have not done so yet, sync your S&T username and password with Google Apps (Gmail).

As always, IT asks you to exercise a healthy skepticism when asked to enter your username and password.

Enter your S&T username and password as you would to sign in to Joe'SS. 
Note: This may differ from the password you set for O365.

IMPORTANT: You must use your username@mst.edu address to sign in to Gmail. Mail addressed to your @mail.mst.edu account will be forwarded to Gmail, however you can not use that email address to sign in

Migrate your email from O365 to Gmail

  1. Open the Missouri S&T mail migration tool
  2. Sign in with your S&T username and password (same as Joe'SS)
  3. Provide your Office 365 username and password, then click Source Folders
  4. Review the on-screen instructions and settings, click Request Migration
    Note:
    The calendar and contacts must be synced separately. See below.
  5. Verify your migrated data

Migrate your contacts and calendar data from O365 to Gmail

  1. Log onto the Microsoft Outlook 2010 program on a campus CLC computer
    • Log in to campus CLC computer with your campus username and password
    • Open Outlook 2010
    • The Microsoft Outlook 2010 Startup wizard will open, follow the instructions on screen to add an email account
    • On the Auto Account Setup screen select the E-mail Account button
    • Fill in the Your Name, E-mail Address, Password, and Retype Password fields using your Office 365 email address and password
    • After the server is identified, click Finish
    • Note: The first time you complete this process, it may take a while to open Outlook

  2. Export contacts from Outlook 2010
    (See Microsoft's official instructions)Indicates that you will be directed to an external site by clicking on the link.
    • With Outlook open, click Contacts in the lower, left corner of the screen
    • Under the File tab in Outlook, click Options and then Advanced
    • Under Export, click Export
    • An Import and Export wizard will open, select Export to file
    • Under 'create a file of type,' choose Comma Separated Values or CSV
    • Choose the contact folder that you would like to export
    • Note: You can only export one folder at a time. Don't forget the location of the saved file.

  3. Import contacts to Gmail
    (See Google's official instructions)Indicates that you will be directed to an external site by clicking on the link.
    • Click Mail in the top-left corner under the Missouri S&T symbol, then choose Contacts
    • On the left menu click Import Contacts... at the bottom
    • Choose the file(s) saved in the above step

  4. Export calendars from Outlook 2010

    • With Outlook open, click Calendar in the lower, left side of the screen
    • Under the File tab in Outlook, click Options and then Advanced
    • Under Export, click Export
    • An Import and Export wizard will open, select Export to file
    • Under 'create a file of type,' choose Comma Separated Values or CSV
    • Choose the calendar or events folder you would like to export
    • Note: You can only export one folder at a time. Don't forget the location of the saved file.

  5. Import calendars to Gmail
    (See Google's official instructions)Indicates that you will be directed to an external site by clicking on the link.
    • On your Google calendar page, click the down arrow next to Other calendars on the left-side menu and choose Import calendar
    • Click Browse and choose a .CSV file you saved in the above step
    • Select which calendar you want the events to show up in and click Import
  6. Verify your migrated data
    Once you have completed steps 2-5, make sure your contacts and calendar items appear in Gmail. If you need assistance, contact the IT Help Desk.
